Collab-RT Realty LLC ("Collab-RT", "we", "us") respects your privacy. This policy explains what we collect, why, how long we keep it, and your choices. If anything is unclear, email reachryanparker@gmail.com or call (830) 481-2233.

1. What we collect

a. Information you give us

• Name, email address, phone number, and message text when you contact us, subscribe to the newsletter, request the relocation guide, or book a showing.
• Consent preferences for email, SMS, and phone contact.
• Listing preferences you tell us about (price range, area, acreage, features).
• If you create an account: your login email and any profile information you add.

b. Information we observe automatically

• IP address and approximate city/region derived from it.
• Browser fingerprint — a non-unique hash of your browser's self-reported user agent, language, screen size, and time zone. We use this to recognize returning visitors so your search preferences persist and so your pre-registration browsing attaches to your account when you create one. This fingerprint is not sufficient to identify you as a person.
• Pages you view on our site, which listings you spend time on, referring URL, UTM tags.
• Session cookies required for authentication and CSRF protection.

c. Information from third parties

• If you're a prior client imported from our legacy CRM (Lofty), we keep the history from that system — your past conversations, notes, and stage.
• MLS listings data from CTXMLS, SABOR, and reciprocal MLSs (governed by each MLS's display rules).
• Publicly available property records from Texas county appraisal districts.

2. What we do with it

• Respond to your inquiries and deliver the real estate services you asked for.
• Send you listings that match preferences you told us — only if you opted in to email updates.
• Send you SMS only if you separately opted in to SMS. We honor STOP / HELP / UNSUBSCRIBE per the TCPA.
• Improve the site and triage incoming leads (including AI-assisted summaries).
• Meet our record-keeping obligations under TREC and IRS rules (typically 4 years).

3. What we do NOT do

• We do not sell or rent your personal information.
• We do not use your information to steer you toward or away from neighborhoods based on protected-class characteristics (race, color, religion, sex, national origin, familial status, disability, sexual orientation, gender identity) — doing so would violate the Fair Housing Act and NAR Code of Ethics Article 10.
• We do not scrape your social media profiles or build covert dossiers on you. If we offer social-account connection in the future, it will be opt-in and obvious.

4. AI assistance

We use Google Gemini to summarize lead history, draft replies, and power our website chat assistant. When you chat with the site, you're told you're chatting with an AI. Any prompt sent to Gemini is logged in our audit trail. Gemini's data handling is governed by Google's enterprise AI terms — no chat content is used to train public models.

5. Data sharing

We share data only with:

• Our hosting provider (HostGator) — infrastructure only.
• Google (Gemini, Maps, reCAPTCHA, Analytics) — bound by their respective Data Processing Addenda.
• Our MLS providers when reporting required transaction data.
• Title, lender, and closing parties when you are in an active transaction.
• Law enforcement, if legally compelled.

6. Your rights

Regardless of where you live, you may:

• Access a copy of the data we have on you.
• Correct inaccurate data.
• Delete data we are not required to retain by law.
• Withdraw consent for email/SMS at any time.
• Opt out of any sale/sharing of personal information (we do not do either, but you can still opt out).

California residents (CCPA/CPRA), Texans (Texas Data Privacy and Security Act), and Europeans (GDPR) have enumerated rights under their laws. We honor all of them equally — email us to exercise any right.

7. Retention

• Active leads + transactions: for the life of our relationship + 4 years after (TREC).
• Anonymous visitor session data: 12 months rolling, then anonymized.
• Audit logs: 7 years (we keep defensible records of all system actions).

8. Cookies

We use only first-party session + CSRF cookies required for the site to function. If the site uses third-party analytics or advertising pixels in the future, we will add a consent banner and disclose them here.

9. Children

Our services are not directed at children under 13 and we do not knowingly collect data from them.

10. Changes

If we materially change this policy we will post the new version here and update the "Last updated" date. If you have an account, we will email you.
